Privacy Policy

Your family's data deserves the highest protection. Here's exactly what we collect, why, and what we never do with it.

Our core privacy promise

We will never sell your data, share it with advertisers, or use your child's information to train AI models. Your child's education records are yours — period.

1Who We Are

Clarity Parent (“we,” “us,” or “our”) is a California-based company. This Privacy Policy explains how we collect, use, and protect information when you use our Service. Questions? Contact us or email privacy@clarityparent.com.

2Information We Collect

Account information: When you register, we collect your name, email address, and password (stored as a one-way hash).

Child profile information: To set up your dashboard, we ask for your child's first name and current grade level. You may also optionally provide a disability category and school district — these are never required and disability category is never assumed or defaulted on your behalf.

The IEP you upload: When you upload your child's IEP, we store the original PDF and the text we extract from it. An IEP contains detailed information about your child: their disability category, assessment scores, goals, services and school. We hold it so that a school psychologist can check our analysis against the document you actually sent, rather than against a possibly-garbled reading of it. See Section 4.

Usage data: We collect standard server logs (IP address, browser type, pages visited, time of access) to operate and improve the Service. This data is aggregated and not linked to individual identities for analytics purposes.

Payment information: If you purchase a paid plan, payment is processed by our third-party payment processor. We do not store your full credit card number.

3How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve the Service
  • Tailor the meeting questions, checklists and guides we show you, using the child profile information you provided
  • Send transactional emails (account confirmation, purchase receipts, support responses)
  • Respond to your support requests
  • Detect and prevent fraud or abuse
  • Comply with legal obligations

We do not use your information for behavioral advertising, third-party data brokering, or any purpose not listed above.

4IEP Documents and Data Privacy

We keep your child's IEP in private storage. It is never public, and every time it is opened, that happens through a link that expires in minutes.

The school psychologist who reviews your analysis reads the IEP itself, so they see what the document says about your child — including their name. They have to: nobody can check an analysis against a document they are not allowed to read. What they do not get is your account. They cannot see the profile you filled in, they cannot look you up as a customer, and they are not told who bought which plan.

When you delete your account, the document is deleted with it.

Some parts of the Service still show a worked example — an expert review or a psychoeducational summary — built from a fictional student and containing nothing about your child. We label those examples in the product.

The commitments below govern your child's IEP and the other child information we hold (Section 2):

  • No AI training: Your child's information is never used to train, fine-tune, or improve any AI model — ours or anyone else's.
  • No third-party sharing: It is not shared with, sold to, or disclosed to any third party except as required by law or to deliver the Service to you (for example, the infrastructure providers that host it on our behalf, and only for that purpose).
  • Retention and deletion: It is retained for as long as your account is active. Deleting your account deletes it in the same operation — there is no separate library to manage.
  • Deletion record: When you delete your account, we retain a minimal record — your account identifier, plan, purchase status, your payment processor's customer identifier, and the dates an analysis was produced and published — for up to 24 months, to defend against fraud and payment disputes. It never includes your child's name, grade, disability category, school district, or any part of their IEP.
  • Encryption: Your data is encrypted in transit (TLS 1.2+) and at rest (AES-256).

5Cookies and Tracking

We use essential cookies necessary to operate the Service (session management, authentication). We do not use advertising cookies or cross-site tracking cookies.

We may use privacy-respecting analytics (such as aggregate page view counts) that do not involve individual tracking or fingerprinting. You may disable cookies in your browser settings, though some features may not function correctly.

6Third-Party Service Providers

We share limited data with trusted third-party providers solely to operate the Service:

  • Cloud infrastructure — for secure hosting and database storage
  • Payment processor — to handle one-time purchases
  • Email delivery — to send transactional messages

These providers process your data on our behalf, under their own standard terms of service, solely to deliver the functions listed above. We do not use providers that claim rights to your data for their own purposes.

7California Privacy Rights (CCPA/CPRA)

As a California-based company serving California residents, we comply with the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA). California residents have the right to:

  • Know what personal information we collect and how it is used
  • Delete personal information we hold about you
  • Correct inaccurate personal information
  • Opt out of the sale or sharing of personal information (we do not sell or share personal information)
  • Non-discrimination — we will not discriminate against you for exercising your privacy rights

8Children's Privacy

Clarity Parent accounts are for adults (parents and guardians) only. We do not knowingly collect personal information directly from children under 13. The child profile information in your dashboard is about your child but is provided by you as the parent or legal guardian, and is handled as described in Section 4.

9Data Security

We implement industry-standard technical and organizational measures to protect your information, including TLS encryption for all data in transit, AES-256 encryption for data at rest, access controls limiting who can view your data internally, and regular security reviews.

No system is perfectly secure. In the event of a data breach that affects your personal information, we will notify you in accordance with applicable California law.

10Changes to This Policy

We may update this Privacy Policy periodically. We will notify you of material changes by email or by displaying a notice in the Service. The "Last updated" date at the top of this page reflects the most recent revision. Your continued use of the Service after changes are posted constitutes your acceptance.
